Information we collect
Depending on the form used, FamilyCon may collect a name, email address, phone number, country, professional role, institution, selected package, workshop interests, accessibility request, enquiry text and payment-proof file. Security logs may record limited technical information needed to prevent abuse.
Information we do not request
Do not submit passport numbers, bank passwords, card PINs, private medical records or unrelated sensitive information. If an official process later requires additional documentation, it should use a separately approved and secured route.
Why information is used
Information is used to review registration, verify payment evidence, respond to enquiries, coordinate participation, provide requested accessibility support, maintain an audit trail and meet legitimate event-administration obligations.
Storage and access
Uploaded payment proof and its registration metadata are configured for storage outside the public web root with restricted file permissions. The current implementation does not claim encryption or malware scanning. Access must be limited operationally to authorised conference staff.
Retention and deletion
An official retention period has not yet been approved. Records should be kept only for the period needed for registration, financial reconciliation, dispute handling and applicable obligations, then securely deleted under an approved schedule. Contact the team to request correction or deletion, subject to obligations that require continued retention.
Cookies and analytics
The forms use essential session and anti-forgery cookies. The registration page may store an unfinished text draft on the delegate’s device. No active analytics tag was found in the audited repository; any future analytics must be consent-aware and must not collect payment-proof content or confidential form values.
